What personal data we collect and why we collect it
Due to the nature of the Grassroots Kettlebell League we need to collect personal information about you for your entry. Below I will list what we need, why we need it and how long for. GDPR means we have to change how we do things for your benefit and protection.
We do need an email address with your entry. This enables us to send an automated response of your entry and to contact you with any extra information for you or from you. We never have and never will share your email address with 3rd parties. Also we WILL NOT keep your email address indefinitely. Every 3 months we will be deleting all form entries from past competitions meaning we will keep your email address for a maximum of 3 months.
Due to the nature of the league we do need your name on entry. Your name will be kept on the scoresheet indefinitely because without names the scoresheet will be meaningless. Your name will be kept on the league table indefinitely as with the scoresheet the league table is meaningless without names. The only other personal information will be your club and scores. Should you so wish we will remove your name from the scoresheet and the league tables simply email Nick@grassrootskettlebells.com and state which competition you entered and that you want your name removing.
Competition Advanced Warning System
This is where you make the decision for us to keep your email address for the purpose of being informed about upcoming competitions. If you opt-in we will then keep your email address on file until you request we stop informing you via email about our upcoming competitions. From time to time we may add extra information to the email informing you of a competition. However we will not send you an email without informing you of a competition. If you want your details removing from our advanced warning system list please contact Nick@grassrootskettlebells.com
Part of the fun of Grassroots Kettlebells is getting clubs and teams involved. We will keep your club affiliation both on the scoresheets and league tables indefinitely for the same reasons your name is kept. However if you require we remove you club affiliation from the scoresheets and league tables please email Nick@grassrootskettlebells.com
We ask your gender details on the entry form because it is the nature of the sport that men and women lift in different categories. Your name will be on the scoresheets and league tables in gender category indefinitely. If you want your name and information removing please email Nick@grassrootskettlebells.com
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with
We don’t share your data with anyone other than G-Suite for storage, competition hosts for use during a competition and our web-host via our servers if you comment on this website.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
